About the role
An accounts payable officer makes sure suppliers are paid correctly and on time. You check invoices against orders and delivery notes, process payments, reconcile vendor statements and follow controls that stop duplicate or fraudulent payments. The panel is looking for accuracy, honesty and good organisation.
How to prepare
- Explain the three way match in your own words and why each document matters.
- Prepare an example of a payment error you caught before it went out.
- Think through how you handle a supplier who keeps calling about a late payment.
- Know how you reconcile a vendor statement and clear old open items.
- Be ready to describe how you spot fake invoices or changed bank details.
Common mistakes
- Paying to meet a deadline when the paperwork does not match.
- Seeing controls as delays instead of protection for the business.
- Giving no clear example of handling volume while staying accurate.
